Position Overview:

MIT Professional Education (PE), under the School of Engineering, offers a suite of education programs and products to serve the continuing educational needs of technology and engineering professionals globally. The Marketing Operations Administrator will collaborate with PE colleagues, program director/s, other staff, faculty, and vendors in the delivery of world-class professional education programs to companies and individuals. Will be responsible for the administration of a range of marketing operations for PE Marketing in a dynamic and challenging environment.

Duties will include assisting with strategic planning and implementation of marketing plans under the direction of the Director of Marketing and Communications including communication of data vision and strategy; identifying, managing, and analyzing data relating to marketing forecasts and budgets for General Marketing and individual Marketing for each of PE’s department programs, reporting on ROI, and other marketing analytics including the creation and updating of dashboards; management of the marketing tech stack; negotiating and maintenance of contracts with vendors for a wide array of marketing services ensuring vendors fully comply with statements of work and other agreements; evaluating, recommending, and implementing operational changes for process improvements; is the marketing point person regarding the Salesforce system and related vendors that interface with the system; and participating in cross-functional project teams as needed.  
 

Principal Duties and Responsibilities

Marketing Operations, Planning, Analytics, Optimization, and Reporting (50%):

  • Responsible for strategic planning and management of data-related activities to support PE’s marketing plans, and the communication of data vision and strategy to applicable internal and external constituencies as directed by the Director of Marketing and Communications.
  • Collaborate with marketing colleagues and key stakeholders to define marketing key performance indicators (KPIs) based on the goals and objectives of PE and PE’s programs.
    Collect, analyze, and interpret data (e.g., market research, performance metrics) to identify trends, patterns, and insights to share with the Director and the Assistant Director of Marketing.
  • Standardize reporting; develop and maintain dashboards and reports to track marketing KPIs, ROI, and campaign performance to inform decision-making and strategic marketing initiatives.
  • Manage the marketing technology stack ensuring optimal data integration and accuracy across platforms, the evaluation and recommendation of new technologies to enhance marketing efficiency and effectiveness across platforms, and considerations of future scalability.
    Responsible for supporting operations for the PE parent website including partnering with PE marketing colleagues and web developers on overall website strategy and customer experience, including management of improvements, UI, UX, content, design, data architecture and capture, SOE, and reporting and analysis.
  • Assist with managing the workflow of the PE Marketing team and external strategic partners and vendors to ensure that deadlines are met and products match expectations of high quality.
  • Responsible for marketing asset management and maintenance, ensuring the most up-to-date assets are easily accessible (i.e., branding, photography, content, design).
  • Identify new processes and efficiencies that are relevant, actionable, and sustainable from several perspectives, including customer, operations, and financial.
  • Ensure PE marketing is in alignment with MIT, regional, national, and global data privacy regulations, accessibility requirements, and best practices and that processes are in place to ensure compliance.
  • Partner with PE departments to maintain data hygiene, segmentation, and data governance practices, including data from external vendor partners.
  • Identify, recommend, and leverage digital and online technologies and/or vendors to publish content.
  • Establish, standardize, operationalize, and continuously update documentation and project management best practices across the team.
  • Liaise with cross-functional teams, including PE Programs teams, Salesforce team, and Finance team to ensure alignment on marketing initiatives.
  • Assist with editing, formatting, and proofreading of content for meetings, events, digital campaigns, and other marketing-related activities.
  • As a member of the Marketing Team, collaborate with the team in planning and organizing projects and PE events including but not limited to MITSPO, Program anniversary events, and Open Houses for PE and the Programs.
  • Assist with preparation for and attending conferences and events, which may occasionally be scheduled on nights and weekends.
  • Make relevant, actionable, and sustainable recommendations to the Director to review and approve, including all associated financial considerations.

Budgeting & Financial Reporting (40%):  

  • Responsible for assisting with the development and management of marketing-related financial budgets and forecasts for the Marketing function and for the marketing of each of PE’s department programs under the guidance of the Director of Marketing and Communications.
  • Develop an analytical framework to track, text, and report on the ROI and overall effectiveness of marketing and communication campaigns, including the development of dashboards.
  • Oversee contracts, renewals, payment, and invoicing with marketing-related vendors and efforts.
  • Ensure that annual marketing plans have sufficient financial support and that approvals by all applicable parties have been provided.
  • Attend all regularly scheduled Marketing-related meetings with the Finance team throughout each fiscal year.

Salesforce Administration Support [10%]
 

  • Attends monthly COE (Center of Excellence) PE Salesforce meetings.
  • Creates standard and custom marketing-related reports from Salesforce and converts them to Microsoft Excel for things such as participant/client data, registration information, webinar data, and marketing activities for programs. Provide analysis and feedback for marketing and program improvement purposes.
  • Develops and produces reports by utilizing PE’s CRM Salesforce system to meet other marketing-related requests.

Supervision Received:

  • Receives minimal supervision from the Director of Marketing and Communications. Must be proactive and able to work independently.  

Supervision Exercised: 

  • May oversee interns and or temporary staff.

Qualifications & Skills: 
REQUIRED:

  • Bachelor’s degree in Marketing and Communications or a related field required.
  • Minimum 5 years of communications or marketing and finance experience required.
  • Significant experience with developing and presenting data and financial reporting and analysis.
  • Superior organizational skills.
  • Experience developing and managing contracts and Statements of Work (SOWs) with internal and external constituencies.
  • Excellent written and verbal communication and presentation skills both virtually and face-to-face.
  • Ability to handle confidential and sensitive matters with discretion, and diplomacy, make sound judgments, assess information, resolve problems, and determine when senior program staff need to be involved.
  • Proven record of employing creative and thoughtful approaches to challenges.
  • Must be able to work occasional evenings.
  • In-depth knowledge of Microsoft Office, with advanced Excel and PowerPoint skills.
  • Experience using various video conferencing applications such as Zoom, GoToMeeting, and Teams.
  • Working knowledge of CRM systems such as Salesforce and other cloud-based tools such as SAP and marketing automation platforms 

    PREFERRED:
  • Prior experience in a marketing operations role in a revenue-generating corporate and/or Higher Education environment.
  • Prior experience in executive or professional education.
  • Familiarity with Quip, Slack, and Salesforce.
  • Knowledge of MIT internal systems and processes is a plus.
  • Familiarity with AI tools is a plus.
