Position Overview:

MIT Professional Education (PE) is a leader in technology and engineering education for working professionals globally pursuing career advancement, and for organizations seeking to meet modern-day challenges by expanding the knowledge and skills of their employees. The Marketing Specialist under the Assistant Director of Marketing will play a crucial role in supporting the PE Marketing and Communications team in executing effective marketing campaigns and initiatives.  They will be involved in a wide range of activities that contribute to the overall success of marketing efforts and help assist with business growth for PE. Duties include administrative-related tasks such as scheduling meetings and meeting note taking, finance-related tasks such as managing the timely processing of invoices, event management for year round conferences and special events (e.g, in-person, virtual), curating social media and coordinating responses across PE-wide channels, content development and proofreading, assisting with creation of marketing reports including data analysis, updating web content, management and maintenance of marketing assets (digital, printed, promotional), assisting with communications and marketing activities to support campaigns.  
The Marketing Specialist will attend conferences and support conference logistics by gathering and transporting marketing materials to related locations.  They will also be responsible for maintaining contact lists; sourcing and uploading image and text files into digital asset management systems; participating in seasonal planning, including distributing marketing materials, and circulating marketing plans; proofreading; monitoring the PE marketing inbox; collecting and submitting invoices, and creating purchase orders.  

The Marketing Specialist will write and make routine edits for print and digital materials; offer suggestions to improve content flow and style; compile basic information and draft routine communications/marketing content for activities and events. The Marketing Specialist maintains, monitors, and optimizes social media platforms for PE, performs quality control checks, is responsible for supporting the maintenance of the SEO strategy across platforms, and performs other duties as requested.  

Principal Duties and Responsibilities:
Administrative: 50%

  • Schedules meetings and handles all meeting logistics, including taking meeting notes and distributing to the team including the follow-up identified during the meeting.
  • Orders marketing and promotional materials, and manages inventory (i.e., on-site, at vendor sites).
  • Requests purchase orders and submits vendor invoices to finance for payment as needed. This includes timely follow-up to meet budgetary deadlines. Provides reports as needed.
  • Maintains distribution lists and updates contact information for specific subject areas, newsletters, and email blasts.
  • Maintains communications/marketing calendar and sends updates to the team.
  • Supports the coordination and execution of both in-person and virtual events across multiple platforms (i.e., ON24, Zoom). This includes PE Program Open Houses and webinars.
  • Assists with the timely updating of PE’s website and update of PE Program pages.
  • Distributes communications to various internal and external constituencies such as marketing/promotional emails, and tracks responses.
  • Works with internal partners, external vendors, and designers on updating printed and digital marketing assets.
  • Creates custom reports from Salesforce and converts them to Microsoft Excel on participant/client data, registration information, webinar data, and marketing activities for programs.
  • Compiles data and creates ad hoc reports as requested.
  • Performs proofreading and quality-control checks on all work to ensure content and visuals are accurate and aligned with the channel and SEO strategy, with PE-wide branding, and with marketing campaign strategies and goals.

Marketing: 40%

  • Assists in the implementation of PE-wide and PE Program-related marketing plans and strategies.
  • Attends conferences and assists the Assistant Director with preparation of core and tailored marketing materials, and coordinates transport/shipping of items to/from local, domestic and international conference sites. This includes coverage for events delivered both in-person and virtually through various platforms.
  • Serves as one of the primary points of contact at conferences to answer questions about PE course offerings, including capturing lead contact information.
  • Helps develop a wide range of digital content for social media, website landing pages, email communications, webinars, digital marketing campaigns, and other channels as appropriate, including writing, editing, and proofreading.
  • Maintains, monitors, and optimizes social media platforms (e.g. Facebook, LinkedIn, Instagram, YouTube, Twitter). This includes monitoring and maintaining LinkedIn access, and follow-up on social media inquiries and comments in a timely manner.
  • Responsible for supporting incorporation of SEO strategy and tactics, including connecting to and ensuring consistency across PE’s various channels.
  • Performs research to identify facts and statistics to support marketing efforts. This includes managing and updating competitive research data such as target audiences and market trends, and periodic review of MIT faculty web pages to find new information that can enhance marketing messaging for PE courses and Programs.
  • Reviews marketing analytics and updates existing reports on digital traffic tracking applications and stays current with trends in web, video, and emerging technologies, and recommends new initiatives. Provides updates to the Director and the Assistant Director as requested.
  • Under the direction of the Assistant Director, identifies audiences for specific communication needs and supports plans for outreach that engages existing and prospective participants in the PE brand experience, and supports PE programs.
  • Assists with the design, preparation, and production of print and electronic content including social media content and video materials for PE.
  • Maintain marketing databases and contact lists, including ensuring data is up-to-date and aligned with marketing needs in the Salesforce CRM system.
  • Compiles basic information and drafts routine communications/marketing content for recurring activities and events (e.g., meeting notes, and department newsletters).
  • Assists in the tracking and analysis of marketing campaign performance, using analytics tools and preparing reports.
  • Assists with coordinating and conducting interviews with PE learners to support development of written and video marketing content.
  • Helps create and curate engaging content for various marketing channels, such as websites, blogs, social media, and email campaigns.

Webpage Maintenance: 10%

  • Maintains existing web pages by performing a periodic review of general and specific course pages for factual accuracy, timeliness, relevance, and correct links.
  • Will assist the Marketing team with evolving the PE website to ensure visitors have an excellent customer experience while capturing visitor data.
  • Under the direction of the Assistant Director of Marketing, gather information from faculty when requested and edit/update faculty-related communications on the MIT Professional Education website, as necessary.
  • Creates new web pages for programs as needed using existing tem
  • Updates program information and staff listing on the website as directed.
  • Other duties as assigned.

Supervision Received:

  • Receives direction from the Assistant Director of Marketing and Business Development and is expected to execute on deliverables with minimal supervision.

Supervision Exercised:

  • Under the direction of the Assistant Director, assists with the planning, assigning, and scheduling of work with vendors, and with interns and/or temporary staff.

Qualifications & Skills: 
REQUIRED: 

  • Bachelor’s Degree required with a minimum of 3 years of related work experience, preferably in a corporate, retail marketing, or front-line customer-facing setting.
  • Demonstrated ability to work effectively in a fast-moving and high-volume work environment.
  • Demonstrated willingness to learn and attention to detail are essential.
  • Excellent written and verbal communication and presentation skills (writing samples are required).
  • Proficiency with Microsoft Office, Word, Excel, PowerPoint, Zoom, and Slack.
  • Proficient in using marketing software and tools, such as email marketing platforms, social media management tools, and analytics platforms.
  • Working knowledge of and professional experience with Adobe Creative Suite (InDesign, Photoshop), Drupal, Salesforce, Pardot, web content management systems, marketing automation tools, project management software, social media management software, Slack, basic HTML, SEO, and Google Analytics.
  • Working knowledge of digital marketing channels, including social media, content marketing, SEO, and email marketing.

PREFERRED:

  • Prior experience in a marketing or communications role in Higher Education and/or at MIT is a plus.
  • Prior Salesforce or other CRM system experience is strongly preferred.
  • Proficiency with both PC and MAC.
  • Familiarity with AI tools is a plus.
